Calen Cookie Policy

We organise the cookies used across our landing pages and the Calen dashboard into four functional categories.

Strictly necessary cookies

These cookies are essential to operating the Calen platform and cannot be switched off in our systems. They authenticate you when you sign in to the dashboard, verify that your session has not been tampered with, maintain the state of your open multi-currency wallet views as you move between screens, and protect the platform against cross-site request forgery and other session-based attacks. Without these cookies, you would not be able to log in or remain signed in to your account.

Performance and analytics cookies

These cookies help us understand the technical health of our platform. They record page response times, click paths through the dashboard, scroll depth on our marketing pages, and error events, so our engineering team can identify and fix frontend issues, slow-loading screens, and broken flows before they affect a wider number of Customers.

Functionality cookies

These cookies remember choices you have already made so that you do not need to make them again on every visit. This includes your selected dashboard layout, your chosen country or region profile, and your default settlement currency, such as USD, GBP, or EUR, so that your Global Ledger and conversion tools open in the view you last used.

Targeting and marketing cookies

These cookies are used on our public marketing pages only, never inside the authenticated dashboard. They help us understand how far our content reaches, which search engines and business networks refer visitors to us, and how effective our B2B customer acquisition campaigns are, so that we can direct our marketing budget toward the channels that genuinely bring finance and engineering teams to Calen.

Calen's dashboard includes embedded software agents that parse uploaded invoices, calculate estimated tax liabilities, and write ledger updates directly to connected accounting software such as QuickBooks or Xero, as described in our Terms of Service. These agents operate entirely on our backend servers, processing the documents and data a Customer uploads or connects through the platform.

Cookies and web beacons only ever record technical information about your browser session, such as how long a page took to load or which button you clicked. They have no visibility into, and play no part in, the parsing of a Customer's invoices, the calculation of tax liabilities, or the content of a Customer's raw corporate financial records and double-entry account books. That data is handled through separate, access-controlled backend systems governed by our Privacy Policy and our standard Data Processing Agreement, not by any cookie described in this policy.

Calen embeds individual pixels, also called web beacons, within the automated corporate communications and system alert emails we send, including payment confirmations, security notifications, and product updates. When you open one of these emails in a client that loads remote images, that pixel notifies our systems that the email was opened.

We use this information solely to confirm that a message was successfully delivered and rendered, to evaluate whether important system alerts are actually being seen by their intended recipient, and to measure the general operational performance of our notification channels so that we can improve how we communicate critical account information to Customers. We do not use email tracking data to build advertising profiles of individual recipients.

Most web browsers allow you to see what cookies are stored on your device, delete them individually or all at once, and block cookies from being set in the first place, either for all sites or for specific ones. You can find these controls in your browser's settings or preferences menu, usually under a heading such as privacy, security, or site data. You can also clear your browser's storage cache at any time to remove existing cookies.

If you block or delete our performance, functionality, or marketing cookies, most of the Calen dashboard will continue to work normally, though some screens may load your default settings rather than your last chosen preferences. If you block our strictly necessary cookies, certain mission-critical parts of the dashboard, including payment generation fields, currency swap components, and the sign-in process itself, may fail to function correctly, and you may not be able to access your account at all.

Where we use a third-party analytics or marketing tool that sets its own cookies, that provider's own opt-out mechanism, where offered, operates alongside your browser controls.

We keep this Cookie Policy aligned with evolving data protection law in each jurisdiction we operate in, including the UK Data Protection Act 2018 and the UK General Data Protection Regulation, and applicable United States state privacy frameworks. As our use of cookies, web beacons, and similar technologies changes, or as the law governing them develops, we will update this page to reflect those changes.

Where we make a material change to the categories of cookies we use or the purposes we use them for, we will update the last updated date at the top of this page, and where required by law we will seek your renewed consent before applying that change.
